Email Reports

MailFellow can send periodic email reports with your support metrics. Reports are delivered to the email addresses you specify, on a weekly or monthly schedule.

Setting up reports

  1. Go to Settings > Automation
  2. Turn on the Email Reports toggle
  3. Choose your settings:
    • Frequency:Weekly or Monthly
    • Day:which day the report is sent (day of week for weekly, day of month for monthly)
    • Time:which hour, in your account's timezone
    • Recipients:comma-separated email addresses
  4. Save changes

What the report includes

Each report covers the previous period (7 days for weekly, 1 month for monthly) and includes:

Summary metrics

  • Emails received:total incoming emails
  • Replies sent:total outgoing replies
  • Response rate:percentage of emails that received a reply
  • Average response time:how long it takes to reply on average

Busiest days

Which days of the week had the most incoming emails, ranked by volume.

Top senders

The 5 people who sent you the most emails in the period, with their email counts.

Team performance

If you have multiple authorized members, the report shows each member's reply count and average response time for the period.

Delivery

  • Reports are sent as HTML emails via your configured SMTP settings
  • Each report is sent exactly once per period. If the system restarts, it will not send a duplicate
  • All recipients receive the same report
  • Monthly reports on day 29-31 should use day 28 to ensure delivery every month

Examples

Weekly report every Monday at 9:00 AM: Frequency = Weekly, Day = Monday, Time = 09:00

Monthly report on the 1st at noon: Frequency = Monthly, Day = 1, Time = 12:00
